The Events Coordinator will support our Events Manager to ensure excellent service for our guests during their exclusive events. You will be involved in all the planning and supervising events to ensure that the set objectives will be reach. You will be responsible for exceeding our guest expectations and requirements for all events. You will help to develop a harmonious work atmosphere with a focused approach on teamwork.
Responsibilities and duties:
Will develop a complete understanding of the requirements for every event;
Will meticulously prepare reports and making presentation to management the event’s workflow;
Will provide quality service by responding to requests promptly, efficiently and courteously throughout the overall guest experience;
Will be responsible for exceeding our guest expectations and requirements for all events, following up their satisfaction during the stay and assuring their expectations have been fulfilled upon their departure;
Will liaise with exhibitors, stakeholders, and vendors during the planning period to ensure everyone is carried along with the progress of all activities;
Will support in all set-up for the event, dismounting, and follow-up on all activities;
Will conduct inspections before and on the event date to ensure that the event is progressing in adherence to our standards and procedures; will do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards;
Will assess the overall progress or success of an event and making reports accordingly
Well support the Events Manager in training and coordinating the other department following the event’s schedule;
Will follow all SOPs and guidelines related to the banquet process;
Will ensure the guests receive good service by encouraging positive interactions amongst the event committee;
Will observe the event site’s operational guidelines to prevent management disputes;
Will ensure that there are enough stock supplies for the occasion;
Will ensure effective communication between Events team and the other departments, in compliance with our current procedures. The goal should always be to make guests feel comfortable and satisfied;
Will create a positive and collaborative work atmosphere within the team and suppliers, spreading the culture of proactive teamwork among company departments;
Will maintain very high standards of hygiene, behaviour and grooming;
Will collect all materials needed from the warehouse in accordance with the instructions received.
Previous experiences in the same role in luxury and excellent organized work environment;
Excellent interpersonal and organizational skills;
Strong communication skills both written and verbal;
Excellent problem-solving abilities;
Outstanding Guests service skills;
Be able to perform in team in a dynamic work environment;
Excel Microsoft Office Suite proficiency;
Fluent in English and Italian. A third language will be a plus.
